Legal Administrative Associate
The incumbent supports the Legal Director by handling the department’s administrative and technical needs—such as logistics, supplies, office resources, fleet coordination, and compliance tasks. They also assist in preparing reports, presentations, and other documents to help ensure smooth day-to-day operations.
As the Legal Admin Associate in the area of Legal, you will:
- Coordinate day-to-day administrative tasks, including meeting arrangements, supply management, expense reporting, and coordination with Purchasing for quotations.
- Maintain and file legal documents and records to ensure efficient data and records management.
- Manage department meetings by coordinating schedules, preparing agendas, tracking action items, and taking and maintaining minutes.
- Support the planning and execution of department events, ensuring all logistical and physical requirements are met.
- Manage the Legal Director’s calendar, including appointments and travel arrangements.
- Process purchase orders (PO), purchase requests (PR), and invoices.
- Assist with budget tracking and management, including preparation of reports using Excel.
- Book flights and accommodations as needed.
- Coordinate team offsites, internal legal meetings, and other departmental activities.
- Collaborate with cross-functional teams for branch visits, JTI visitor agendas, and market calendar support.
- Assist with administrative contract management and contract filing.
- Maintain and track document inventory and manage office supply needs.
- Liaise with IT for any technical support or equipment needs.
- Handle general correspondence and ensure timely and professional communication within and outside the department.
Requirements:
- Bachelor’s degree, preferably in a related field.
- Minimum of 2–3 years of experience in administrative or secretarial work, ideally within a law firm or legal department.
- Proficient in both English and Filipino (written and spoken).
- Strong computer skills, including Microsoft Word, Excel, PowerPoint, and other MS Office applications.
- Familiarity with SAP is a plus.
- Excellent administrative and organizational skills, with a proactive approach to work planning.
- Strong interpersonal and communication skills.
- High attention to detail, reliability, and the ability to prioritize effectively.
