Global Supply Chain and Customer Service Specialist
The incumbent manages operations within the GBS scope, ensuring the supply of finished, semi-finished, and raw materials to JTI markets and 3rd Party Partners. They collaborate with internal and external stakeholders, including service providers, factories, logistics, and other functional partners, to support Customer Service and Supply Chain processes in SAP ECC, IBP, MyJTI, and related systems. This role ensures high-quality operational support, on-time delivery, accurate billing, and acts as a key link between factories, suppliers, customers, markets, and logistics partners, adhering to JTI policies and procedures.
As the Global Supply Chain and Customer Service Specialist in the area of Order to Cash - Global Supply Chain & Customer Service, you will:
- Coordinate portfolio phase-in/phase-out for designated markets/customers and maintain master data. Manage demand change processes to ensure accurate production requirements and verify correct selling prices in purchase and sales orders, resolving discrepancies with the market before processing.
- Process sales and purchase orders in SAP ECC/IBP, ensuring accuracy and timeliness for optimal order output. Collaborate with stakeholders to ensure continuous supply, minimize write-offs, and fulfill customer requirements. Manage shipments in the Transportation Module, monitor end-to-end delivery, and ensure timely arrival at the final destination.
- Liaise with forwarders and carriers to establish transport documentation and create SAP documents (order confirmations, invoices, packing lists, etc.) in accordance with company policies. Additionally, manage non-SAP documentation (e.g., certificates of origin and freshness) to meet market or customer requirements, ensuring timely delivery for customs clearance and billing/accounting purposes. All steps must be completed within set timelines.
- Maintain up-to-date backup materials and ensure smooth handover of business activities during planned absences to ensure business continuity. Respond quickly to changes in taxation, regulations, or embargoes, analyze their impact, and propose solutions. Support internal and external audit queries, and review J-SOX reports for compliance in the O2C, P2P, and Inventory Management processes, ensuring adherence to J-SOX controls for JTI.
- Create service-related purchase orders and ensure timely and accurate goods receipts. Support vendor payments by resolving billing issues and collaborate with Finance on Accounts Receivable/Payable, Credit & Collection, and FP&A matters, as well as month-end closing. Approve or reject blocked invoice releases, assist with GR/IR clearing, and minimize unbalanced POs. Ensure timely completion of month-end closing, support audits, analyze business impacts, and propose solutions. Manage communication with relevant functions and management.
Requirements:
- University 4 years graduate of Supply Chain Mgt or Engineering or other related course
- 3-5 years of experience in the area of Supply Chain and Customer Service in a multinational company; at least 12 months in a role of GSC&CS Associate
- Fluent in English (written & spoken). Any additional language(s) is/are an asset (in particular French or Spanish).
- SAP Hana experience or other ERP
- Logistics knowledge
- MS Office package
