Office Operational Specialist (External)

What this position is about ?

This role is responsible for handling all office administration activities (i.e. front desk support, office supply & maintenance, all contracts, third party service etc.) and providing administrative support, including but not limited to, scheduling on-site and offsite meetings, coordination of special events, Purchase Request (PR)/ Purchase Order (PO) creation, and Car Fleet activities. Additionally, this role is required to handle and effectively develop and implement health & safety, well-being and other P&C activities.

 

What will you do ?

OFFICE MANAGEMENT

  • Manage office inventory and office supplies with a full track of all suppliers and partners.
  • Welcomes visitors in a professional and friendly manner and direct them to relevant personnel.
  • Be the go-to person for coordinating meetings, conferences and appointments.
  • Ensure the office adheres to health and safety regulations. Manage related documentation and conduct safety drills as required.
  • Coordinate with building management to address facility related matters, ensuring timely resolution.
  • Work hand-in-hand with different teams to provide the administrative support they need.
  • Purchase to Pay (P2P) discipline and championing.

 

HR AND GENERAL MANAGER SUPPORT

  • Assist GM in various matters to ensure that highquality assistance is provided in time as required.
  • Support core HR agenda and assist with day to day operations and duties.
  • Actively participate in budgeting process in all related fields by planning, monitoring, controlling, and reporting all relevant costs.

 

ENVIRONMENT, HEALTH AND SAFETY (EHS) AND WELL-BEING

  • Lead the implementation of health and well-being strategy by applying clinical guidelines, prevention, and health management principles to optimize positive impact and reduce risks.
  • Responsibility for safety function by following business objectives and JTI sustainability strategy.
  • Supervision of operations, projects, and reportings in the scope of EHS.

 

TRAVEL & ENTERTAINMENT

  • Manage office event calendar by organizing company meetings & events.
  • Supervision on T&E (events) to JTI Baltics employees (aligned with One Travel Policy)


Who are we looking for?

  • University degree in business, administration, or a related field
  • 2+ years of relevant experience of office management
  • Organizational and time management skills with ability to prioritize tasks effectively
  • Positive and collaborative attitude and interpersonal skills to work effectively with leaders and colleagues across the organization
  • Fluency in English
  • PC skills: Outlook, MS Word, Excel, Power Point, and preferably SAP
