Position Purpose

JTI USA is currently seeking a Licensing and Reporting Associate to join our organization. The primary purpose of this position is to support JTI USA's efforts to ensure compliance with all of JTI and its U.S. affiliates' federal and state licensing/reporting/tax requirments. This would include filing for new licences and renewing excisting licenses; filing for monthly, annual and other periodic reports (e.g., sales volume or taxation reports) with the applicable federal and state agencies; maintaining product lists and registrations; and monitoring upcoming filing requirments to ensure that JTI and ifs affiliates remain current on their obligations.

Responsibilities and Requirements

  • File all documents necessary (e.g., applications, requests for certifications, etc.) to ensure that JTI and its U.S. affiliates' are up-to-date on all licenses, registrations and corporate governance Documents and that these entities can conduct business and sell products in the U.S., in all 50 states and in applicable local jurisdictions.  
  • Communicate directly with federal, state and local authorities to ensure proper, accurate and timely filing of these documents.  Ensure all documents meet the necessary form and substance required.
  • File all documents necessary to ensure JTI and its U.S. affiliates' compliance with the 1998 Master Settlement Agreement, Contraband Cigarette Trafficking Act, Prevent All Cigarette Trafficking Act, Fire safe certifications, new Food & Drug Administration reulations and other similar agreements or regulatory requirments.  
  • Communicate directly with regulators, auditors and administrative officials to ensure proper, accurate and timely filing.  
  • Ensure all documents meet the necessary form and substance required.
  • Maintain good working relationships with applicable internal and external stakeholders, including regulators, governmental authorities, external legal counsel, corporate services suppliers
  • Finance colleagues, Marketing & Sales colleagues and IT colleagues who can assist JTI in meeting its legal obligations and can facilitate the proper filing of documents.
  • Prepare monthly, annual and other periodic reporting to comply with federal, state and local reporting requirments.  
  • Gather data from internal Finance, Marketing & Sales and IT colleagues using Exel and SAP, and transfer this data using the specific reporting format as required by the applicable federal, state and local authorities.  
  • Work with internal Information Technology colleagues to automate this type of reporting to expedite the filing of these regular reports.
  • Work with JTI's Global Taxation team to ensure that it has the market support necessary to file all applicable tax returns.  
  • Assist the Global Taxation team, when necessary, with ensuring the JTI and its U.S. affiliates comply with the applicable internal Indirect Tax Manual.
  • Work with federal, state and local authorities to ensure that JTI and its U.S. affilates' products are properly maintained, updated and renewed on any and all necessary lists showing the relevant Trade that these products are legally availible for sale in the federal, state or local jurisdiction.
  • Conduct administrative tasks as requested by the Legal Director and provide feedback and analysis on the effectiveness on JTI's processes and procedures related to licensing and reporting.

 

Minimum Qualifications

  • B.A. or B.S. or 5 years relevant experience
  • Filing financial data, sales reports and/or licensing/registrations
  • Working with Excel and SAP  
  • Working knowledge of consumer goods industry, especially within sales and finance.  
  • Experience working in a highly regulated industry, including complying with reporting, licensing and registration requirements for government agencies; tobacco or FDA-regulated experience preferred.    
  • Microsoft Suite (Excel, Word, Office); SAP; government internet platforms
