Purpose of this position is to support the General Manager and Leadership team members by providing secretarial assistance, taking care of all office administrative activities and being in-charge of the Travel Desk, administrative day-to-day support; scheduling meetings and drafts correspondence/minutes; travel and conference arrangements; and other office management activities. Objective for this position is to provide efficient & effective administrative support to General Manager and Leadership team members by relieving them from managing day-to-day office administrative tasks.



1. Provide secretarial assistance to General Manager and Leadership team members. 

  • Timley submission & processing of all personal & professional expenses including but not limited to settlement of travel claims, credit card payments, tracking of bank accounts etc
  • Filing and custodian of all confidential business related matters
  • Arrangement of Management meetings, Preparation of minutes of meeting & followup with management team on agenda items & action plans etc.
  • Drafting various business correspondences - Internal & External 
  • Managing appointments & travel calendar for the General Manager and Leadership team


2. Travel Desk Management

  • Processing of Travel requests for entire management team & coordinate with JTI authorized Travel Agent on providing flight options based on company's business travel policy 
  • Tracking and updating travel records, Coordinating with Market Finance Department on payment and settlement of travel invoices, employee travel claims etc
  • Ensuring on time payment and coordination with AMEX and Travel Agent on pending issues/disputed transactions
  • Making Hotel & local transportation booking by coordinating with relevant administrative staffs at the destination point


3. General Office administration

  • Ensuring proper upkeep & maintenance of offices & work locations of management team
  • Ensuring that all office assets including communication equipments are well maintained & managed


4. Mobility, Immigration and Relocation of IAs, STAs, Local Plus

  • Will be in-charge of the following: liasing with housing vendor, immigration services, relocation vendor and coordinating with all activities related to mobility


5. Engagement

  • Will be in-charge of all office engagement activities via coordination with Local P&C, Employee Synergy Team (EST) and other JTI entities



  • Graduate of any Bachelors degree
  • Minimum 4-5 years of similar experience in Secretarial & Administrative function
  • Excellent communication skills - English & Local Language
  • Hands on experience in MS word, MS Excel & PowerPoint Presentations, preferably with certificate course in MS office applications
  • Experience in international environment is an advantage
  • Proven experience in visa/immigration process and events organization
  • Organizational skills & multitasking
  • Good analytical skills
