Employee Lifecycle Specialist

The Employee Life Cycle Specialist ensures the efficient delivery of services to all stakeholders, including entities, regions, and employees, in alignment with agreed Service Level Targets. Their role involves providing quality and timely end-to-end support across all P&C areas, adhering to Standard Operating Procedures (SOPs). Key responsibilities include maintaining data within GBS systems, preparing documents, certifications, and reports, supporting communication within defined procedures, promoting the deployment of 'my JTI,' coordinating with markets to ensure GBS processes are up-to-date, and updating SOPs to reflect system and process changes.

 

As an Employee Lifecycle Specialist, you will be responsible for

  • Employee Lifecycle Support:Provide services in alignment with the P&C Service Catalogue, ensuring timely and professional responses to all Employee Life Cycle Stream service inquiries and requests, adhering to standard operating procedures (SOP) for ticket management in MyJTI (ServiceNow). Validate employee data templates and documents for HR and payroll systems maintenance, create and manage JTI organisational structures in SAP HR, and prepare contractual agreements and letters using established templates. Maintain employee lifecycle events in SAP HR and local payroll systems based on corporate and local guidelines, ensure payroll readiness, notify relevant parties of employee data changes, and support employees with access to T&E applications and corporate credit card provisioning. Facilitate employee enrollment in benefit plans and the ESPP program, manage modifications, release communications related to regular P&C processes, and provide reports following defined standards and templates.
  • SOPs and related Documents Updates: Updates the related working documents and procedures if case of changes. Updates Service Catalogue if the service becomes obsolete or a new service is added to the catalogue. Creates training documents, provides input to on-line learning modules, knowledgebase articles, one pagers, etc.
  • MyJTI support: Provide advisory support to JTI community on how MyJTI should be used, and what is the most appropriate and efficient way to request necessary services from GBS. He/she captures user feedback and address it to MyJTI power users for further system improvements.

 

Requirements

  • 2- 3 years experience in a multinational organization in a similar role, preferably with hands on SAP HR experience. Experience in an administrative role is a plus
  • Fluent written and spoken English. Other languages would be an asset.
  • Profound knowledge of HR Administration and Organizational Management processes. Good understanding of Organizational Management principles is required.
  • Good understanding of Payroll needs, Statutory reporting requirements, etc. is a plus.
  • Strong Customer Service Mindset. Understanding cross-cultural sensitivity. Lean / 6-Sigma methodology knowledge is a plus.
  • Excellent team player, open minded and flexible.
