Reporting to: Regional Sales Manager/Area Development Specialist

 

What this position is about:

The incumbent will be responsible for preparation of reports and presentations for the Regional Sales Manager. She/he will ensure administrative support and professional communication between the field force and other departments of the Company.

 

 

What will you do:

 

  • Perform Sales Admin-related activities in support of the Branch: - Monitoring and management of office supplies, pantry consumables, and sales vehicle consumables- Processing of ASH Concur expenses - Management and liquidation of Branch Revolving Fund, inclusive of WIC and Branch Finance expenses- Updating of DSO list of vehicles and assignees - Payment of branch utility bills- Mailing of documents- Preparations for various sales and company meetings and events- Assistance in travel bookings for various sales meetings- Regular updating of branch organizational charts and branch territory maps- Coordinate and process requests related to staff house (e.g. additional occupants, transfers, rent increase, furniture, etc.)- Assistance in purchase of branch/warehouse furniture- Preparation of coffee / snack / meal for branch visitors and / or guests- Assistance in the bidding and disposal process for scrap Disposal-Validation / Monitoring of GRIR (Goods Receipt/Invoice Receipt
  • Perform activities in support of the Distributor Manager: - Updating of DP SOA- Creation and filing of Market Returns- Processing of DP POP/Claims- Printing of DP Contract- Mailing to HQ of the DP Contract after DM procures the signature of the respective DP
  • Perform activities in support of the Field Force Development Group: - Validation and submission of Fieldwork tally to FFDG- Creation of PR / PO for training activities- Assistance in course thru payments for non-accredited hotels / venues
  • Perform activities in support of People & Culture: - Collation and submission to HQ of attendance reports : Leaves, Absences, Overtime, Restday and Holiday work monitoring.- Routing of Employee Movements and Confirmation forms.- Assistance in hiring and collection of pre- employment requirements- Distribution of uniforms and other tools of trade- Compliance to Government Requirements and ensure readiness for unannounced DOLE audits.- Coordination of Employee benefits and concerns with P&C Business Partner : Emergency Loans, Bereavement Notification, SSS Loan notification, HMO concerns coordination.- Assistance in Employee cases document collection and submission to P&C.- Provide administrative Support to P&C Business Partner during branch meetings, trainings, workshops or cascades (both remotely and face to face)- Support EHS protocols : COVID contact tracing protocols; Coordination with Covid Care; Safety Compliances in the branch.
  • Perform activities in support of Marketing: - Releasing of prizes if FDS not available- Creation of PO/PR and GRIR
  • Other sales support activities that may be assigned from time to time

 

 

Who are we looking for:

 

  • Bachelor's degree from a recognized university, preferably in any 4-year course.
  • 2-3 years of relevant experience in a comparable role within a multinational FMCG (Fast Moving Consumer Goods) company.
  • Basic understanding of sales and distribution, trade marketing, and market research would be advantageous.
  • Proficiency in both written and spoken English.
  • Competence in MS Office applications (PowerPoint, Advanced Excel, Word). Applied knowledge of SAP is preferred.
