Office Administration & EHS Manager


This role exists to manage Office Administration & Environment, Health and Safety (EHS) function to provide comfortable working environment for employees, promote wellbeing and ensure employees' safety. You will closely work with the management team and report directly to Human Resources Director.


What will you actually do?

  • Control and coordinate office space maintenance (both central and regional offices) ensuring the quality of all office services and processes, administrative purchases (goods, furniture, equipment etc.)
  • Manage relations with offices lessors and their change, renovation and design processes
  • Manage Reception and Business Travel processes to ensure quality administrative support to employees and compliance with global policies and strategies
  • Coordinate and organize company events (VIP visits, offsite meetings, conferences, office events etc.) including search, selection and cooperation with external providers and departments
  • Develop and implement EHS programs and activities in line with business needs.
  • Educate regional EHS responsible persons and establish effective and regular communication between central office and regions
  • Develop and coordinate programs and initiatives to improve working environment for employees in central and regional offices
  • Coordinate and execute Office Administration & EHS related internal communications. Develop and run JTI Gallery
  • Manage contractual agreements with internal & external providers as well as payment processes. Manage an inventory of fixed assets on regular basis in cooperation with Finance
  • Manage Office Administration & EHS budget within AP/SP, LE planning cycles
  • Lead and develop the best Office Administration & EHS team (1 specialist and 1 reception administrator)


What are we looking for?

You as a professional have:

  • At least 2 years of experience on administrative position
  • Experience in organizing events, meetings, team-buildings, etc. will be an advantage for you
  • Experience with business-trips organization will be a plus
  • University degree (in management or economic preferably)
  • Attentiveness to details


Also, you are:

  • Ready to speak/write in English almost every day
  • Fluent in Ukrainian and/or Russian
  • Experienced user of MS Office
  • Excellent project manager
  • Stress-resistant and able to handle multi-tasking in a busy environment
