Who are we?

Global Business Services PMO office is responsible for creation of Global Shared Services organization (GBS) and transition of transactional activities taking place across the organization (HQ, markets & factories) into the newly created Shared Services (GBS) organization.

GBS Geneva based PMO is looking for experienced Project / Transition manager to join GBS building project on temporary basis, duration till Q3-Q4 2022

 

JOB PURPOSE:

GBS PMO Transition (Project) Manager is primarily responsible for all Knowledge transfer activities. She/he helps the GBS PMO, the Functional Champions as well as JTI Knowledge Capture and Training resources to understand and execute the details of the GBS migrations across all phases. Transition Manager supports the Functional Champions in implementing the migration methodology across all markets and acts as their partner for operational planning and risk mitigation. The GBS PMO Tranistion Manager mostly liases with the GBS PMO team, Functional Champions, Business Process Owners and the GBS Delivery Centers.

The GBS PMO Transition Manager is responsible for:
- Planning the Knowledge Transfer activities for each function in scope
- Driving the Knowledge Transfer methodology sign-off with GBS PMO and stakeholders
- Coaching Functional Champions, Knowledge Capture and Training resources, build capability on implementing and executing migration methodology
- Helping Functional Champions to operationally plan on a day-to-day basis, identify risks and escalate them appropriately
- Ensuring close collaboration between sending and receiving side with regards to transition tasks
- Coordinating effective communication cascade in countries and ensure alignment of relevant stakeholders
- Supporting content preparation for key steering meetings (e.g., monthly SteerCo) and lead content preparation for meetings on implementation and execution of Knowledge Capture and Knowledge Transfer (e.g., with Functional Champions)  
- Maintaining the project plan, milestones, WBS, etc for the Knowledge Transition workstream

 

JOB ACCOUNTABILITIES:

GBS Planning

- Owns all the functions project plans for Knowledge Transition and leads and manages the planning meetings
- Identifies and manage the interdependencies and addresses the project specific problems
- Manages the adequate tracking and produce the regular reporting decks  
- Initiate the Change Request process and support the Functions to document the change and instruct the teams on the required routes
- Identifies any risk and provide mitigation and additional implementation expertise as required
- Organise update meetings and provide regular updates to the GBS PMO team

Knowledge Transfer methodology

- Define the Knowledge Transfer methodology, the necessary training, type of resources involved, locations
- Work with the Functional Champions to ensure any deviation from the agreed standard approach is documented and signed off
- Coach the sending and receiving sites employees on all KT related topics
- Work directly with the Functional Champions and adapt the training delivery to maximise the outcome
- Coach the Functional Chmapions and operational leadership to break-up milestones and create oprational day-by-day deliverables

New GBS colleagues training

- Work directly with the Functional Champions to ensure the training completeness on time and at the expected quality levels
- Facilitate meetings with the Operations colleagues to establish the type of examination post training and pass/fail thresholds
- Facilitate meetings between sending and receiving sites to agfree on training curricula
- Establish a real time training tracking and reporting system

Communication 

- Coordinate effective communication cascade in markets and ensure alignment of relevant stakeholders
- Help GBS PMO to liaise with local market leadership during migrations
- Facilitate GBS introduction workshops in markets and help to oversee ongoing activities during market migration into GBS

 

REQUIREMENTS:

- University degree, a professional Project Management acreditation (i.e. Prince2, PMI) would be an asset

- Background in Consulting / Professional Services running Transformation / Shared Services transition projects is an asset

- Minimum 2-3 years of a managerial role leading global cross-functional teams in a Project Management environment; international experience would be an asset.

- Strong moderator/facilitator skills is a must;
- Breadth of experience working in different/across functions would be beneficial;
- Microsoft Office suite incl. MS Project and MS Visio.
- Lean/6-Sixgma methodology knowledge/practice preferred.
- Willingness to travel internationallly for 50% of the time
