Mobility Operations & Payroll Supervisor - GBS Knowledge

 

ABOUT THE ROLE

 

You will be part of the Global Rewards GBS Knowledge team and will be responsible for controlling key areas of the Global Mobility Operations & Payroll processes for International Assignees, critical Master Data Quality controls in Mobility systems, periodical systems reconciliation, Global payroll reconciliation (instructions vs payments).

Management of the overall payroll run and schedule ensuring various stakeholders deliver on time with expected quality. Key activity includes the responsibility of the Global Payroll payments preparation and instructions to Local Payrolls & Global Compensations Management, cooperation with external banks & JTI Treasury, payment forecasts & payment returns management, JTI Services Payroll Banking & Accounting reconciliation.

Besides you will take part in the Global Mobility Modernization project aimed to optimize Mobility processes & Systems delivering integrated services and advanced user experience. 

 

WHAT YOU WILL DO

 

Global Payroll Run & Supervision

  • Actively manage the overall payroll run within the system of the monthly Global Mobility Payroll by working closely with various teams internally and with external vendors & banks to ensure global payroll has been closed according to deadlines. 
  • Be responsible for system check lists, reconciliations, workflows, dashboards & notifications review, batch payment loads validation versus instructions (LTIP, PSIP, ASR), monitoring Mobility data quality across various informational resources, communication with stakeholders initiating corrective actions before payroll closure to ensure payroll compliance.

 

Global Payroll process & Stakeholders consultancy

  • Audit monthly payroll in close collaboration with various Global Mobility stakeholders.
  • Work closely with Mobility Business Partners, Home/ Host P&C and Local Payrolls to ensure Mobility Programs are correctly reflected and documented in payroll system/ processes.    
  • Work closely with Corporate Benefits manager & Corporate Benefits Vendors to ensure benefit plans are correctly reflected and documented in payroll system/ processes.
  • Responsible for timely updates of process documentation.
  • Act as a stakeholder's consultant for case management and to provide expertise both on a business process and system functionality. 
  • Communicate process changes and deliver required trainings to stakeholders to ensure awareness and enhanced stakeholders experience.

 

JTI Services Payroll Payments & Accounting reconciliations

  • Payments reporting review to ensure data completeness.
  • Responsible for management of JTI Services Payroll payment instructions to Banks.
  • Management of payroll payment forecasts & payment returns in close collaboration with Banks & Treasury.
  • Preparation of Accounting reporting (salary interface) & JTI Services Payroll GL accounts reconciliation.
  • JTI Services Payroll Bank accounts reconciliation.
  • JTI Services Corporate Benefits invoices validation before payment.
     

Payroll instructions & Global Compensations management

  • Manage Global Payroll instructions to Local payrolls across JTI organization.
  • Responsible for Assignee Home/ Host data gathering for Global Compensations to ensure tax reporting requirements for all assignment types are met.
  • Manage Global Payroll reconciliation  to ensure reported cost elements completeness and accuracy of Mobility Programs application by Local Payrolls.
  • Regular review of the processes & systems to ensure data are uploaded into the Mobility system which will be the source for Management to sign-off on the Annual Compensation.
     

Support to the Mobility Operations & Payroll Group Manager

  • Provide ideas and/or support to manager upon request on projects for continuous improvement in Global Mobility and Global IA Payroll processes for the team.
  • Act as the Backup for Mobility Operations & Payroll Group Manager.

 

ABOUT YOU - MAJOR REQUIREMENTS, SKILLS & KNOWLEDGE

  • You have a university degree in Finance.
  • You have 3-4 years in payroll, HR and related systems, preferably within international payroll environment. Finance & Accounting background is required.
  • HR/ Payroll Business Process understanding, accuracy, strong analytical/ process/ technical skills as well as ease with large volume of administrative tasks/ responsibilities to ensure payroll compliance.
  • Customer oriented, interpersonal, communication & presentation skills, pro-active, strong sense of urgency, comfortable in working with tasks driven by deadlines.
  • Autonomous but good team oriented skills required, structured, well-organized, strong attention to detail.
  • Strong comfort level in working with computer programs/ systems.
  • Open for innovations, able to challenge status quo, Project Management skills.
  • Solid expertise with SAP HR, Excel, Visio and Power point and  strong comfort level in working with HR/ Payroll applications.
  • You are fluent in English (verbal & written).
