Communications Specialist & Executive Assistant
In this role, you will organize and manage all factory-related communication activities in close collaboration with the Management team, Market, and GSC Communications team. You’ll also handle daily administrative tasks, support events and visitors, and contribute to building a positive internal culture. Please note that the admin part is the predominant part of the role.
Position
Administration & Support
- Be the go-to person for travel arrangements, accommodation, meeting room setup, and visitor coordination.
- Manage newcomer onboarding (access cards, safety shoes) and maintain visitor records.
- Handle purchasing activities for NPS items, office supplies, and refreshments.
- Coordinate uniform and safety gear orders, cleaning, and propose process improvements.
- Oversee security-related tasks, including purchase orders, key management, and reporting system issues.
Communication & Engagement
- Develop and implement internal communication strategies to keep Factory employees informed and engaged.
- Create content for various channels (printed materials, digital platforms, Business TV, Workplace, SharePoint).
- Coordinate inputs for JTI Group communications and collaborate with GSC and Scandinavia Corporate Communications teams.
- Support the Factory Lead and Management with presentations, reports, and communication projects.
Employer Branding & Events
- Create materials that reflect JTI’s corporate brand and employer image.
- Support internal programs promoting JTI as an employer of choice.
- Organize and coordinate factory events, celebrations, audits, and visits.
Data & Reporting
- Act as an expert in Microsoft tools (SharePoint, Power BI, Teams, Workplace).
- Prepare reports, meeting agendas, and presentations to support decision-making.
- Contribute to IWS implementation by collecting and analyzing data, visualizing targets, and updating communication channels.
Requirements
- Experience matters most: If you have hands-on experience in communications, administration, we want to hear from you- even if your degree is in a different field.
- Ideally, 1–2,3 years in a similar role (FMCG, consulting, or PR agency preferred).
- Education: A university degree in journalism, PR, communications, business administration, or a related field is a strong plus-but not a dealbreaker.
- Strong analytical and presentation skills.
- Excellent command of MS Office.
- Organized and able to manage multiple priorities under pressure.
- Excellent communication and interpersonal skills.
- Good time management and prioritization, performing well under time pressure.
- Discreet and diplomatic, understanding confidentiality needs.
- Pro-active, self-starter, self-motivated person.
- Fluent in English and Swedish (written and spoken); other languages are a plus.
