Position Purpose

JTI USA is currently seeking an Office Administration Associate to join our organization. The primary purpose of this position is to provide front desk support, mailing and carrier operation, office supply & maintenance as well as support to the Car Fleet and Administration Manager.


This position is based in our Head Office in Teaneck, NJ.



  • Reception / front desk management: Answer and direct incoming calls, greet visitors and vendors. Establish and maintain positive working relationship with external vendors.  Daily mail pick up and distribution, process daily mail and fed ex
  • Office management: order office supplies, ensure office equipment is working properly (copy machines, fax, etc) call repair service as needed.  Maintain kitchen supplies and equipment. Assist with meeting organization (reserve conference rooms/meeting space, equipment, food, and beverage service)
  • Ensure and sustain cleanness of the office premises via dealing with building management and cleaning team. Take care of open space as may be required.
  • Heavy responsibility with SAP/Invoice Payments; process invoices for payment in timely fashion, create and maintain PO's
  • Assist Car Fleet & Administration manager with car fleet duties as needed
  • Proactive and handle a wide variety of situations and tasks involving the clerical and administrative functions of the office


    Qualifications & Experience

  • BA/BS degree strongly preferred
  • 2-3 years’ experience providing exceptional customer service level support. Must be able to multi task and work in a fast-paced environment. General office skills and SAP experience a plus. Excellent knowledge, with proven experience of Microsoft Office applications including Microsoft Outlook, Excel, Word and PowerPoint.
  • Fluency in English, with excellent written and oral skills. Additional language will be a plus
