Mobility Specialist
The Mobility Specialist plays a key role in organizing, coordinating, and executing all aspects of the expatriate services management process. This position ensures full compliance with the company’s global mobility policies, local labor and immigration laws, and internal practices. The incumbent is also responsible for the governance and delivery of Mobility Destination Services for inbound and outbound moves to and from GBS Manila.
As the Mobility Specialist, you will:
- Expatriate Services Coordination
- Act as the primary point of contact for assignees, providing end-to-end support on relocation and repatriation processes.
- Coordinate all stages of international mobility including pre-assignment preparation, immigration and work permits, shipment of household goods, housing, schooling, and settling-in services.
- Consult assignees and assist on all aspects of employment in the Philippines, including social insurance, medical services, etc.
- Liaise with global mobility teams, external vendors, and local authorities to ensure smooth transitions.
- Policy Compliance & Governance
- Ensure all mobility processes are aligned with company expatriate policy, global mobility framework, and local legal regulations.
- Provide policy interpretation and guidance to assignees and business stakeholders in a form of pre-assignment call/briefing and continous consulting.
- Monitor exceptions and escalate for approval when required.
- Immigration and Labor Compliance
- Manage work permit, visa, and immigration-related documentation and timelines for expatriates and their dependents.
- Coordinate with accredited immigration partners to ensure legal compliance and timely processing.
- Maintain accurate assignment records, tracking key mobility data, timelines, and documentation to ensure full complaince with above.
- Organize/Support annual reporting of assignees to bureau of immigration
- Stakeholder Management
- Collaborate with P&C Business Partners, Finance, Payroll, Legal, Procurement, and business leaders to ensure accurate and timely execution of assignments.
- Maintain strong partnerships with external service providers to guarantee service quality and responsiveness.
- Destination Services Execution
- Own the operational execution of Mobility Destination Services in Manila including temporary accommodation, orientation programs, home search, transportation services and cultural support.
- Monitor service delivery KPIs and employee satisfaction, driving continuous improvement of local mobility offerings. - Budget and Contracts Management
- Manage budget and expenses for all activities, in a strong compliance with P2P policy and JSOX controls where applicable. Comply with budget planning cycle (JuneLE, ASP, OctLE). Sourcing for and Engaging with 3rd Party Vendors for engagement related support needed, including contract management in a strict compliance with compnay contract management policy.
REQUIREMENTS:
- Bachelor's degree in HR, Communications, Psychology, or related fields.
- 2-3 years of experience in global mobility, expatriate management, or HR operations.
- Fluent in English and Tagalog
- Strong understanding of labor, immigration, and expatriate compliance in the Philippines and internationally; Experience working with relocation vendors and immigration providers; understanding of employee life cycle processes
- Excellent organizational and coordination skills.High attention to detail and ability to manage multiple priorities under tight deadlines. Strong communication and interpersonal skills with cross-cultural sensitivity. Problem-solving mindset and ability to navigate complex mobility cases. Conflict resolution skills and high level of resilience. Impecable attention to details and diligence with official documentation. Proficiency in Microsoft Office Application and SAP HR experience is a plus
