Site Management & Administration Assistant (m/f/d)
In this role you will support TPDC and TTDC department members and other clients in D30 by providing administrative support to both locally and remotely managed staff ensuring that business needs are met efficiently throughout every stage of their lifecycle.
Position:
As Site Management & Administration Assistant in the TPDC department, you will:
- Resolve and handle administrative tasks and inquiries related to office infrastructure and employee services
- Perform procurement of office and other supplies for the entire D30 building and follow up on goods receipt and on invoice settlements
- Coordinate and execute sample shipments for our clients and handle export control requirements
- Responsible for support of travel arrangements balancing travel cost and duration in compliance with JTI company travel policy
- Organize internal and external meetings, conferences, and events. Assist international guests with invitation letters and other preparations, such as meeting service, hotel, taxi and dinner arrangements
- Support TPDC and TTDC in D30 in incident investigations, participate in on‑site EHS activities such as inspections, safety walks and assessments, contribute to ASA meetings and deliver safety onboarding for new employees. Ensure functionality of first aid equipment for TPDC.
Requirements:
- Commercial education
- Proven experience in a similar administrative or coordination role is a strong asset
- Excellent communication skills
- Team spirit as well as high service orientation
- Open minded and positive attitude, strong social competencies
- Cultural awareness and the flexibility to work effectively across different mentalities
- Ability to work under stress as well as to adapt quickly to new situations
- Sound knowledge of software applications, mainly MS Office and SAP
- Proficient language skills in English, any other language advantageous.
