Who are we looking for?

We are looking for a new colleague who will support our Agile Benelux People & Culture team by being the guardian of all our administrative activities (job postings/descriptions, policies and procedures, power user of several systems). You will be working on People & Culture Projects in an agile way, task mastered by the People & Culture Projects Manager Benelux. You will be the backup and support of the other team members as well. 
Our Agile team exists of 5 colleagues working closely together on People & Culture and Facilities related matters. You will be part of this team!
An added purpose to this position is that this is meant to be a growth position and we will train and coach you to make a next step in your career.
We have an office in Belgium (Strombeek-Bever) and in The Netherlands (Amstelveen). Because this position has responsibilities across whole Benelux, the position can be located in both locations.

What will you do?


People & Culture Process Coordination

  • You will be the main point of contact for all team requests with regards to information (overviews from SAP, overviews from Success Factors, org charts, PowerPoint support etc.)
  • Your good eye for detail will help you in coordinating and guarding job descriptions as well as publishing them. Moreover, you will participate in the coordination and guarding of our People & Culture policies and our (digital) filing system
  • You will keep a structure of our shared drive(s) and Sharepoint site and play a crucial role in our People & Culture communication process
  • You will help in practical tasks for the team like organizing meetings, keeping the Benelux team holiday planning and such.
  • You are digitally adept and have a keen eye for the future ways of working. You will be a Power User for relevant systems such as
    • Success Factors
    • Concur
    • Mobile onboarding site
    • DocuSign 

Talent Management Administration

  • You will enroll employees with training providers and support them with their registration
  • You will keep local registration updated including guarding of the relevant budget file
  • You will give support with organizing group training sessions

Benelux P&C Projects Support
You will support the Agile teams in projects such as:

  • Employee engagement
  • Innovation in the field of People & Culture and Facilities             
  • People & Culture Business Partner Projects 
  • Business Services Projects 
  • Facilities Projects                                

Financial & Contract Administration 

  • Coordination of vendor invoices with the Global Business Services Centre (GBS) i.e. trace requisitions, PO numbers, incorrect invoices, send reminders, contact with vendors. Preparation and submission of various templates.                                            

Agile Team player

  • You will have an important role in our Agile team structure to deliver support and act as backup of other People & Culture team members


Who are we looking for?

  • Your professional and intellectual capacities are at least at Bachelor level with min. 2 years of work experience
  • You can share and apply the previous experience of working in a multinational environment what is preferred                                        
  • Your Dutch and English verbal- and written skills are on fluent level, French is nice to have                
  • You have excellent knowledge of MS Office. Knowledge of SAP or a similar ERP system is preferred.
