About the Position


JTI Travel Retail Asia is looking for a resourceful administration professional who will be responsible for providing Marketing budget control support and general office administration for the professional management of the team’s daily business. Reporting to General Manager Asia Duty Free Director, you will also be a business partner to Marketing Asia Duty Free Director and Geneva HQ based People & Culture Manager with functional support. Key Responsibilities


Marketing Budget Control


  • Input Marketing Forecast: Support Marketing Asia Duty Free in budgeting for Annual and Strategic Plan and LE exercises and participate to the financial analysis of the marketing investments projects.
  • Monitor actual bookings: Enter monthly budget allocation and PO information in order to ensure investments are accurately categorized, reconciled and reported. Input actual SAP bookings and secure all entries and commitments are in line with budget, including phasing. Create and distribute reports, prepare actual/forecast variance explanation.
  • Execute Purchase and Payment transactions: Create Purchase Requests in line with budget availability and follow up on Purchase execution procedures (Good/Invoice Receipts)


Office Administration


  • Travel and Event Organization: Act as Concur (travel management system) power user and perform relevant secretarial activities including travel bookings, visa / passport renewal, expense management and ad-hoc event coordination.
  • People Support: Support People & Culture with ad-hoc people-related administrative tasks as per request.



Experience & Skills


  • Minimum 2 years of experience in budget coordination, general office administration, and events coordination. Direct reporting to senior management in a multicultural work environment is highly valued.
  • Strong numerical acumen with organizational and project management skills.
  • Fluency in English and local language - written and verbal.
  • Skilful handling of Microsoft Office (Excel, PowerPoint, Word, Outlook, Sharepoint, Teams). SAP is a plus.
