Spare Parts Warehouse Analyst (Mebane, NC)

About the job

In this role, you will manage the factory’s spare parts inventory and ordering process, ensuring critical parts are available when needed to support Maintenance Plans. You will optimize stock levels in line with operational requirements and support Maintenance Planning & Reliability through accurate maintenance and spare parts data, preventive maintenance documentation, machine-hour tracking, and reporting on parts usage and costs. Your work will contribute directly to effective maintenance planning, budgeting, and continuous reliability improvement.

Responsibilities

  • Manage the full spare parts lifecycle in SAP, from creation through disposal, ensuring accurate master data and alignment with business requirements.
  • Ensure the SAP MRP process is correctly configured and running effectively; prevent duplicate, abnormal, or incorrect spare parts orders.
  • Collect and validate information for new spare parts setup, including manufacturer, vendor, OEM part number, equipment usage, photos, drawings, manuals, and criticality; check for existing/duplicate parts before submission.
  • Prepare, submit, and track spare parts setup requests, coordinating with Maintenance, Engineering, Vendors, and Stockroom through completion.
  • Maintain accurate linkage of spare parts to the correct equipment, production line, and asset.
  • Coordinate with the Maintenance & Reliability Manager and Spare Parts Supervisor to ensure on-time parts availability for planned maintenance and expedite urgent requirements for breakdowns/corrective maintenance through OEMs, local suppliers, or Interco Spare Parts Transfers.
  • Collect and update machine-hour readings and PM forecasting trackers to anticipate preventive maintenance and spare parts requirements.
  • Prepare PM task list packets by line, area, equipment, and execution window based on run-hour maintenance schedules.
  • Collect, review, follow up on, and file/upload completed PM documentation, ensuring signatures, measurements, comments, and follow-up requirements are complete.
  • Track PM completion and compliance, identifying activities at risk of becoming overdue and supporting reporting.
  • Optimize spare parts inventory to achieve annual stock objectives, periodically adjusting min/max and safety stock levels based on actual demand and the Standard Spare Parts Optimization Process.
  • Conduct periodic stock analysis to identify obsolete inventory and yearly write-off opportunities, supporting write-off and physical destruction in line with the Global Obsolescence Management Process and local legislation.
  • Generate spare parts usage and cost reports by line, asset, work order, or breakdown event to support maintenance planning, budgeting, and consumption analysis.
  • Analyze usage patterns to identify opportunities for Preventive Maintenance Programs (TBM/CBM) as an alternative to increasing safety stock, coordinating implementation with the Maintenance Manager.
  • Support company-wide Continuous Improvement initiatives, including IWS – Integrated Work System.
  • Distinguish planned PM consumption from unplanned breakdown-related parts usage and identify high/repeat-use parts, recurring breakdowns, and work orders that may indicate chronic equipment issues.
  • Review work orders for missing or incomplete equipment numbers, descriptions, priorities, and required parts, supporting accurate maintenance history in SAP/CMMS.
  • Ensure spare parts are ordered and delivered on time, monitor supplier delivery performance, and coordinate with local and global functions to resolve delays or quality issues.
  • Drive intercompany spare parts transfers to reduce surplus stock and avoid unnecessary OEM purchases when parts are available at other JTI locations.
  • Support maintenance backlog reviews and work order readiness, following up on work awaiting parts, vendor support, or additional planning information.
  • Ensure compliance with relevant JTI Management Systems, maintain organized PM and spare parts records for audit readiness, and follow maintenance-related action items through completion, including auditing completed PM tasks.
  • Manage additional tasks and projects as required by the manager.

Requirements

  • Bachelor’s degree or equivalent education and relevant experience.
  • 3+ years of experience in tobacco or high-speed manufacturing, with exposure to maintenance, planning, stockroom, or MRO inventory.
  • Experience with SAP Inventory Management and Plant Maintenance.
  • Good understanding of work orders, PM task lists, equipment history, and asset records.
  • Strong Excel skills, including pivot tables, formulas, filtering, sorting, and reporting.
  • Project management knowledge and experience in technical/industrial environments.
  • Knowledge of IWS, TPM, Lean, or Breakdown Elimination is a plus.
  • Fluent English, written and spoken.
