Logistics Associate

 

This role ensures business continuity of the logistics information flow by monitoring, maintaining and controlling multiple aspects in the logistics administration. Primary responsibilities include inbound management, stock management, track and trace compliance. Secondary responsibilities include support on customer service and excise tax administration. The function has the right skillset to participate in logistics projects with internal and external stakeholders to support continuous improvement.

 

 

Position:

  • Inbound Management. Coordinate information on inbound shipments and ensure alignment between internal and external stakeholders. Process goods receipts for finished goods aligned with warehouse unloading confirmations within 48 hours of receipt. Ensure all inbound shipments are processed in line with Customs regulations, including full ownership and accountability of confirmation EMCS movements.
  • Stock management. Responsible for alignment between JTI (SAP) and 3PL (WMS) stock on a weekly basis for Luxembourg. Oversee misalignments are investigated and execute corrective actions in cooperation with relevant stakeholders. Responsible to follow up first level escalations. Create and maintain stock reports and maintain overview of sellable vs. obsolete stock. Ownership of annual 3PL stock confirmations for audit purposes and the annual stock count.
  • Track & Trace Compliancy. Responsible for operational track & trace compliancy and supporting process development in departmental and warehouse process flows. Daily follow up and validation to ensure 100% T&T compliancy. Participate in meetings organized by the Global Compliance to ensure alignment with latest developments. Close collaboration with other functions tasked with track and trace responsibilities to facilitate best practice sharing across the Benelux cluster.
  • Customer Service. Develop and maintain relations within Luxembourg wholesale customers, 3PL K+N and the Luxembourg sales team. First backup for all the daily necessary actions in SAP Order to Cash to deliver timely JTI products and materials towards JTI's direct customers and sales representatives. (credit release out of scope). Responsible for 100% match between Customer order, JTI delivery order and 3PL delivery report to ensure customer satisfaction. 
  • Excise Tax Administration. Support by preparing the reconciliation of tax stamp movements in the tax stamp register for review by the Excise and Customer Manager. Coordinate the return flow for obsolete excise tax stamps in cooperation with factories untill arrival at warehouse and final physical destruction at Sidor. Flag, investigate and follow up any misalignments. On-site attendance required in case of destructions of tax stamps or finished goods under supervision of Customs. 

 

Requirements:

  • Higher Professional Education (Bachelor’s degree or equivalent)
  • Work experience in logistics or supply chain, preferably with strong IT literacy (3+ years preferred)
  • Fluent in English and French (written and spoken)
  • PC literacy: MS Excel, Word, Outlook
  • Experience with SAP or other ERP systems is a plus
  • Strong analytical and problem‑solving skills, with the ability to work with data
  • Good communication and stakeholder management skills in a cross‑functional environment
  • Ability to work independently and manage multiple priorities in a fast‑paced setting
