Rewards Associate – Lusaka
This position is responsible for Interpreting, implementing, and maintaining policies and procedures pertaining to JTI payroll and benefits plans while ensuring compliance to JTI requirements and legal requirements for accounting of salary, benefits, deductions and related records as appropriate within the employee lifecycle. The role also provides information and assistance to employees, service providers and the regulator relating to payroll, benefits, time and HRIS processing. The position liaises with other team members in People and Culture, Finance and all other departments as needed.
Position:
As Rewards Associate, you will:
- Payroll Management
Process correct and timely payroll for all employees including reviewing and importing hours from time and attendance system where needed, entering tax and bank information, administering regulatory requirements and J-sox controls, and other adjustments as necessary. This requires implementing and maintaining payroll best practices, preparation and submission of scheduled, variance and ad hoc HR Management reports, responding to payroll queries, maintenance of employee records in payroll and related systems, managing time and attendance, loans and other HR policies for all employees while ensuring compliance. Also carry out internal HR payroll audit and monthly payroll reconciliation and variance reporting.
- Benefits
Administer all employee benefit programs including enrolments and terminations, coordinate and conduct new employee onboarding process and present benefits presentations to ensure employees gain an understanding of benefit plans and enrolment or any changes to provisions.
Ensure compliance with all regulatory mandates and ensure filings are performed as required.
Plan, conduct and report results of audits to ensure all benefit enrolments are accurate and that dependent information is correct for each employee and works closely with Finance for audits. Also addresses all benefit related queries.
- Manpower Plan Update
Update manpower plan and other compensation templates with current and up to date data in a timely and accurate manner for HR strategic planning. Compile and submit all payroll related journals, including accruals for leave, bonus, etc. and reconciliations thereof for Finance. This also includes bank reconciliation for the payroll account.
- Pension Administration and Provider Management
Administering the JTI Leaf Zambia Pension Fund activities and liaising with Pension Administrators and Board of Trustees. Act as point of contact for all HR payroll and benefits service and system providers and manages payments to Service Providers and the regulator. Prepare, submit and process statutory and other returns as well as third party payments (Bank Loans and Workers Compensation).
- Information Management and Reporting
Ensures a safe and hygiene working environment by utilizing principles of maintaining payroll and benefits related files, managing records and other documentation and processes. Prepares statistical summaries and reports from the systems involving payroll information, demographic data and other employee data, and assists to maintain data integrity in systems by running queries and analyzing data and reviewing source documents for accuracy and completion of data input. This includes assisting the line manager with data submission for Salary/ Market Surveys.
Requirements:
- ZSCE plus at least a Diploma in Financial Management or Accounting.
- Full grade twelve (12) certificate.
- Minimum 3 - 5 years working experience in a similar role.
- Ability to thrive in a fast-paced environment.
- Fluent in oral and written English.
Functional Skills
- Strong interpersonal skills to work with people at all levels; effective oral and written communication skills.
- Knowledge of tax.
- Accurate, structured, well-organized with strong attention to detail, proactive, and with strong sense of urgency.
- High level of skill in handling sensitive and confidential situations/information.
- Good time management skills with strong customer service focus.
- Working knowledge and experience with HR information systems, Sage 300 People and Microsoft Office, including intermediate skills in Excel
