MARKETING COORDINATOR
What this position is about – Purpose
The Marketing Coordinator will provide essential administrative and operational support to the Marketing team, assisting in the creation of a wide range of marketing strategies and initiatives. We’re looking for a detail-oriented individual with strong communication, organisational, and time management skills. The ideal candidate thrives in a fast-paced environment, can juggle multiple tasks effectively, and works well both independently and as part of a team.
A genuine interest in the full marketing value chain and a drive to learn and grow are key to success in this role. As a vital part of the team, the Marketing Coordinator will help ensure the smooth execution of marketing activities and contribute meaningfully to the company’s overall growth and success.
What will you do? Responsibilities:
- Budget Administration:
- PR Creation: Create Purchase Requisition (PR) as per process for all quotes and framework orders, ensuring correct cost allocation and timeous release by cost center owner between JTI entities
- GR process: Process invoices received via Goods Receipt (GR) process, ensuring correct invoice details and proof of performance per company policy. Submit invoices to the relevant JTI entity for payment. Ensure Framework order values are maintained throughout the year
- Monthly budget maintenance: Follow up on invoices, clear open Purchase Orders (PO's), amend delivery dates providing support to cost center owners and finance to ensure budgets show the most accurate view of current and future spend.
- Administration support: Provide a backup service to other functions when related staff are on leave.
- Budget Reporting:
- Support the Marketing Director with monthly budget reporting and recons: Develop monthly budget summaries across markets to provide a top line view of spend versus plan and ensure efficient utilization of resources and monthly feedback to finance
- Facilitate monthly vending rebate submissions and approvals
- Monthly budget phasing tracking and reconciliation during key financial planning periods.
- Opex Budgets: Support the Marketing Director with Opex budget planning, phasing according to finance calendar and monthly reconciliation
- Travel arrangements and related budget administration:
- ExCom Travel requirements: Requisition, co-ordinate and expense travel arrangements for the Marketing Director to ensure well-arranged and cost-effective travel solutions via travel agent or online booking tool. Occasionally supporting other ExCom members where required.
- Marketing team travel: Support Marketing team for ad hoc travel requirements including letters of invitation and arranging VISA's when necessary. Consolidation of annual travel planner for the team with projected budgets and reconciliation thereof
- Event Coordination: Arrange marketing related events including but not limited to; workshops, roadshows, team builders including all planning, logistics and preparation required to run smoothly
- Content Coordination: Support the planning, creation and distribution of marketing materials to support the broader marketing team initiatives, including workplace posts, KPI milestones, celebrations, presentations, and business platform (Connexus/TME) updates
- General administrative support: Provide general office/ administration support to the Marketing team maintenance of stationery & office supplies, ordering and allocation of tobacco products for local & international colleagues, manage courier account and payment thereof and facilitate general marketing requests from internal departments
- Marketing Team support: Support the Marketing Management team on projects across Strategic Insights, Portfolio and Pricing, Trade Activation and Consumer Activation pillars that align with business requirements and facilitate development within the team.
Who are we looking for? Requirements:
- Bachelor’s degree in marketing, Communications or a related field
- 3 years’ experience in a similar role involving planning, coordinating, budgeting and support functions, including interaction with senior management
- Excellent command of written, spoken English. Experienced SAP user. MS Office proficiency with strong Excel and PowerPoint skills being advantageous
