What is this position about?

The incumbent shall provide complete administrative support to the P&C team, office facility/ logistics management as needed, manage global assignees with visa / housing / insurance /etc., support with medical insurance selection / renewal within Hong Kong and Macau while taking a high level of initiative and responsibility in order to ensure maximum efficiency. The role involves significant contact with a wide range of internal and external parties as well as providing support on all operational day to day administration requirements, including but not limited to organising meetings and events, travel and related bookings (as applicable), liasing with vendors etc.


What will you do? 

  • Provide support to Global Assignees management including onboarding, schooling, leasing, relocation etc.) and update relevant information in SAP HR if required.
  • Manage Club memberships/debentures.
  • Assist in office lease, office space set-up/layout and cultural belonging.  Maintain a comprehensive filing / reporting system that is up to date at all times.
  • Manage the invoicing and Purchase Requests/ Purchase Orders process with vendors and internal stakeholders and ensure appropriate follow ups.
  • Provide payroll instructions to payroll provider. Check payroll reports and declarations (Taxes, Social Securities...) and accruals calculations for taxes, PSIP, Social Charges made by our payroll provider.
  • Ensure complete admin support is provided to all of Hong Kong & Macau. This includes but not limited to office facility / crisis / logistics management, EHS, T&E, system filing etc.
  • Provide admin support to P&C team (i.e. local/ int'l or virtual meetings/ conferences/ trainings, general assistance with T&E and expense reports, sorting & distributing received mail by post, drafting correspondences etc.).  Maintain a comprehensive filing / reporting system that is up to date at all times and consolidate data into reports, as needed.
