WHAT THIS POSITION IS ABOUT - PURPOSE

To provide the office administration as a support service for staff and to maintain office security, safety and good environment.

 

WHAT WILL YOU DO - RESPONSIBILITIES

Reception services
- Handle in-coming calls and walk-in visitors/ employees professionally
- Receive incoming mails in and deliver to employees with tracking on daily basis
- Request couriers and send daily outcoming domestic and international mails
- Keep front desk and office area neat and tidy

Office Administration
- Supervise tea lady on working time and performance
- Maintain office equipment in good working conditions and repair/change where necessary
- Manage stock and purchase office supplies/ greeneries
- Manage contracts, check weekly/ monthly debit and on time payment for all admin services such as office/car rental, taxi, air ticket/hotel/visa, courier, telephone, Internet, etc.
- Build and manage admin budget and expenses
- Assist Purchase Request/ Order creation for back-office departments.
- Perform other administrative tasks to employees including set up for new comers, organizing office lunches/ snacks.
- Organizing Employee Engagement activities like Women's Day, Mid-Autumn festivals, etc for all employees.

Others
- EHS/ Security coordination for Vietnam: complying with Head-quarter's requirements of safety, health and environment for local market and submit regular reports timely and accurately.
- Support other functions to raise purchasing request and orders via internal systems.
- Provide ad-hoc supports for HR-Admin department if necessary.

 

WHO ARE WE LOOKING FOR - REQUIREMENTS:

  • University graduate or equivalent.
  • At least 2 years of related experience in multinational company
  • Experience in employee engagement activities and arranging company events
  • Good organizing & planning skills
  • Service and customer oriented mindset
  • Ability to multi-task with effective time management
  • Good communication & negotiation skill
  • Patience and detailes oriented
  • PC Literate – intermediate level of overall MS Office
  • High level of accuracy and detail orientation and with high sense of confidentiality and data security
  • Good communications and interpersonal skills
