Job Description:

Task 1: Reception Services

  • Handle in-coming calls and walk-in visitors/ employees professionally.
  • Receive incoming mails in and deliver to employees with tracking on daily basis.
  • Request couriers and send daily outcoming domestic and international mails.
  • Keep front desk and office area neat and tidy.

 

Task 2: Office Administration

  • Supervise tea ladies on working time and performance
  • Maintain office equipment in good working conditions and repair/change where necessary
  • Manage stock and purchase office supplies/ greeneries
  • Manage contracts, check weekly/ monthly debit and on time payment for all admin services such as office/car rental, taxi, air ticket/hotel/visa, courier, telephone, Internet, etc.
  • Build and manage admin budget and expenses
  • Assist Purchase Request/ Order creation for back-office departments including HR, Finance and Corporate Affairs & Communication.
  • Perform other administrative tasks to employees including preparing for new comers, organizing office lunches/snacks/quarterly birthday.

 

Task 3: Others

  • Support the company events or activities.
  • Provide ad-hoc supports if necessary.

 

Job requirements:

  • University graduate or equivalent.
  • At least 1-2 years of related experience in multinational company.
  • Good organizing & planning skills.
  • Service and customer-oriented mindset.
  • Ability to multi-task with effective time management.
  • Good negotiation skill.
  • Patience and detail-oriented.
  • Have interest in working with systems.
  • Good command of English & computer skills (Excel, Word, Power Point).
