VIP Travel Associate

 

Position purpose: 

 

The incumbent reports to the Travel Manager and will be responsible for delivering all high-touch travel-related services regarding Executive members and their family members to provide a smooth employee’s experience. This also includes private travel services. He/She will be the main point of contact for Executive Assistants, Excoms, Travel agency, and Services providers (Visa company, airport services, transport services…) for accurately and efficiently handling incoming requests. This position requires flexibility, discretion and ability to work under pressure to handle last-minute demands. 

 

What will you do – responsibilities: 

 

  • Manage travel reservations (Flights, Hotels, limousine, cars, taxi, trains, etc.) 

  • Organize VIP airport services (Lounges, fast lanes, Meet & Greet, private cars etc.) 

  • Ensure before departure, PNRs data are correct (Frequent flyer cards, necessary passport, seat and meal reservations)  

  • Run special requests for hotel and flights services (room upgrade, pre-checking, pillows, sheets, humidifiers, etc.) 

  • Issue boarding passes 

  • Handle complaints and requests for financial compensation (vouchers) 

  • Provide support to EAs for Visa application so that they can fulfill all requests regarding vital regulations (DOT, TSA, passports, visas, etc.) 

  • Handle Loyalty Programs, Rewards, personal Miles, room upgrades 

  • Book concierge service (restaurant, show, private vacation ...) 

  • Ask airlines to credit miles after departure, when the loyalty card has not been considered 

 
Who are we looking for – requirements: 

 

  • Expert in use of the appropriate Travel tools: GDS Amadeus is mandatory, Concur online tools 

  • Accurate verbal and written communication skills, fluent in English (C1 level) and French (differential)

  • Diploma in Travel & Tourism or Hospitality Management a strong asset 

  • Training or certification from a Travel institute: IATA, in Luxury a plus 

  • Private aviation and concierge training a plus 

  • Familiarity with luxury brands, hotels, and experiences 

  • Strong networking skills with high-end suppliers 

  • Solution and service-oriented Mindset, supportive (positive attitude), highly flexible and resilient 

  • Assertive profile, with ability to cope with stress, to manage priorities and work under pressure 

  • Ability to communicate with diplomacy across the organization while handling discretion and confidentiality 

  • Ability to manage Emergency calls anytime and after-hours 

  • Ideally 5-year experience in VIP travel management or in a similar position 

  • Demonstrates an extensive understanding of all areas in the travel industry
