About the Position

 

WWDF (Worldwide Duty Free) General Management is looking for an experienced, reliable and task-oriented assistant who will be responsible for providing administrative support and assistance to the Vice President for fixed terms (7 months). You will also support the members of the Executive Committee with business related tasks on an adhoc basis. Key Responsibilities

 

  • Perform administrative tasks (prepare presentations, correspondence, calendars, documents, charts; compose memos, letters, etc.) on behalf of the VP and other Executive Committee members.
  • Coordinate meetings, conference, seminar and worldwide travel arrangements.
  • Organize meetings to meet organizer/participants requirements. Attend and take minutes/notes on monthly Executive meetings as required.
  • Ensure proper communication between the WWDF and JTI Management through efficient management of mail, telephone, and verbal communications.
  • Act as a partner to the VP and other Executive Committee members at all times and be aware of business environment and needs.
  • Undertake Special Projects as requested by the Management.

 

 

Experience & Skills

 

  • Minimum of 5+ years of executive secretarial/administrative experience reporting directly to senior management in a multifunctional and multicultural work environment.
  • Strong organizational, project management and problem-solving skills with multi-tasking abilities.
  • Fluency in English and French - written and verbal.
  • Skilful handling of Microsoft Office (Window, Powerpoint, Excel, etc.)
