Position: INTERIM for 10months

Research and Development Assistant (F/M/D)(10months contract)
About the position:
As an R&D Assistant, you will provide high-quality administrative, organizational, and coordination support to R&D senior management and team members in Geneva. You will ensure the smooth execution of day‑to‑day operations, act as a key interface with internal and external stakeholders, and handle confidential information with absolute discretion.

What will you do?
1. Meeting, Event & Project Support
- Organize internal and external meetings, events, and conferences (logistics, agenda preparation, materials, communication, catering)
- Produce presentations, reports, charts, and other business documents
- Support the creation and execution of internal surveys and reporting tools
2. Travel & Expense Coordination
- Manage business trips for R&D teams: flight/hotel bookings, transfers, visas
- Handle travel reimbursements and support employees with Concur issues or training
3. IT, Communication & Digital Support
- Liaise with IT to manage service requests, troubleshooting, and system access
- Maintain distribution lists, Workplace groups, SharePoint Online and Teams sites
- Prepare/publish internal posts and support the creation of professional documents aligned with JTI brand guidelines
4. Purchasing & Vendor Management
- Support procurement activities (vendor creation, purchase requisitions, goods receipts, invoice follow-up)
- Coordinate with GBS P2P, Accounting, IT, and suppliers to resolve issues
5. Onboarding & Offboarding
- Coordinate equipment, application access, badges, travel, and documentation for new joiners, movers, and leavers
- Support credit card requests and Concur setup
6. Sample Storage & Logistics
- Manage sample storage space, documentation, and destruction procedures
- Prepare proforma invoices and support shipping/customs activities
- Handle office supplies, printing, archiving, and subscriptions
Key Skills & Qualifications
- Commercial school diploma or equivalent, University degree is an asset
- At least 3 years of administrative/secretarial experience in an international corporate environment
- Experience supporting management-level stakeholders
- Fluent English and French (both written and spoken). Additional languages are an advantage
- Excellent command of MS Office (Word, PowerPoint, Excel, Outlook).Experience with SAP and Concur.
- Strong organizational and time‑management skills.
- Excellent communication and interpersonal skills.
- Highly accurate, proactive, and adaptable with strong problem-solving abilities.
- Ability to manage sensitive information with discretion.
