Factory Lead Assistant
The Executive Assistant to the Factory Lead provides comprehensive administrative and executive support to ensure the effective management of factory operations. This role serves as a key coordination point between the Factory Lead and internal and external stakeholders, supporting strategic initiatives, operational priorities, and administrative requirements with a high degree of professionalism, confidentiality, and efficiency.
Position:
Executive and Administrative Support

Manage the Factory Lead’s agenda, appointments, travel schedules, and correspondence.

Prepare, review, and edit documents, reports, and presentations to ensure accuracy and quality.

Coordinate meetings, including agenda preparation, minute-taking, and action item tracking.

Maintain strict confidentiality of sensitive information and ensure professional handling of all communications.
Operational Coordination

Ensure proper documentation and record management for all factory-related administrative functions.

Track and follow up on key projects and initiatives, providing regular progress updates to the Factory Lead.

Manage communication platforms for factory internal and external campaigns, event calendars, and the weekly brief to global functions.

Support the execution and monitoring of factory operational plans and performance metrics.

Assist in coordinating audits, external visits, and compliance-related activities.
Stakeholder Management and Communication

Act as a liaison between the Factory Lead and internal departments, ensuring timely communication and information flow.

Support the coordination of factory visits, management reviews, and internal events.

Draft and distribute internal communications, announcements, and reports as required.
Process and Efficiency Improvement

Identify and recommend opportunities to improve administrative systems and processes.

Ensure alignment of administrative practices with company policies and standards.

Provide proactive support in managing priorities and anticipating operational needs
Requirements:

Bachelor’s degree in Business Administration, Industrial Management, or a related field.

Minimum 10 years of experience in administration, including at least 5 years in a multinational company.

Strong command of both English and Arabic (written and verbal).

Strong communication and interpersonal abilities – able to handle diverse situations diplomatically and confidentially.

Good analytical and data handling skills.

Exceptional organizational and multitasking abilities, with attention to detail.

Ability to work independently and manage multiple priorities under pressure.

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), MS Teams, and SAP.
